Convert One PDF Table to an Excel Sheet

Convert PDF Table to Excel locates a table in a PDF, keeps its columns aligned so empty cells do not shift values, and exports it to an Excel sheet after you review it. Use the page field to point it at the pages that hold the table.

Copying a table out of a PDF usually pastes everything into one column or shifts values whenever a cell is empty. This page reads the table from the PDF's text positions instead. Columns are placed along the blank channels that most rows share, so a value that sits under the third heading stays in the third column even when the cell before it is empty.

A long document with one table among many pages is easiest to handle with the page field: enter the page or range that holds the table, for example 4 or 4-6, and only those pages are read. Each table found becomes a sheet in the workbook, and you can review it in the grid, fix a cell or remove a stray column before the download.

The tool works from the text layer. A table that is drawn as an image has no text to read, so it needs the OCR option, which recognizes the page and rebuilds rows from the word positions. A table that continues onto the next page is joined into one table when its columns line up with the page before, and a repeated header row is dropped.

Features

  • Column placement from the blank channels the rows share
  • Page field to read only the pages with the table
  • Review and correct before downloading
  • Excel sheet per table, with numeric cells for plain numbers
  • OCR option for tables that are images

When to use this tool

  • Taking a price table or schedule out of a long PDF
  • Moving a results table from a paper into a spreadsheet
  • Extracting a table from a manual to filter it in Excel

How do I convert a table in a PDF to Excel?

  1. Upload the PDF
  2. Enter the page or pages that contain the table
  3. Click Process and check the grid
  4. Download the Excel file

Limits and edge cases

  • A table that continues on the next page is joined into one table only when its columns line up with the page before
  • Merged cells are not reconstructed; the text sits in its first column
  • Spanning headers and merged cells are not rebuilt: a heading over two columns sits in the first of them

Test results and conditions

  • Test files: synthetic one-page PDFs generated for this project's test suite, not real customer documents. Four layouts (statement, invoice, bordered and borderless report) were extracted from text PDFs with every cell in the right column.
  • A table in a scan of a regional report: 97.1 percent of cells were exactly right at 200 dpi; the misses were single characters, such as Q1 read as Qi.
  • A 3-page statement made for the test suite: 90 transactions, a header repeated on every page, and descriptions that wrap onto up to three lines. It came back as one table across pages 1-3, the header kept once, and all 90 transactions had their date, debit, credit and balance in the right columns. The wrapped description lines arrived as extra rows, which the merge button folds back.
  • A bordered table with a two-level header (Q1 2025 and Q2 2025 over Units and Revenue), a subtotal row and a wrapped label: every figure of the four data rows landed in the right column. The spanning headers were not merged (each sits over its first column) and the subtotal text landed in a middle column.

Frequently asked questions

Why did my table land in one column?
Detection needs a visible gap between columns. Tables whose columns touch can fail that test. Try the page field to narrow the input, or the OCR option, which measures gaps from the picture.
Can I convert only one page?
Yes. Enter the page number in the page field, for example 7, or a range such as 7-9.
What about a table split over two pages?
When its columns line up with the page before, the two parts are joined into one table and a repeated header row is dropped. If they do not line up you get one table per page; paste the second part under the first.
Does the PDF itself change?
No. Only the Excel file is created from what you see in the grid.
